We take safeguarding, accessibility, privacy and responsible data handling seriously, and aim to make it straightforward for institutions, teachers and learners to understand how the platform works.

What we collect

When you submit an enquiry form, we collect the information you provide directly – typically your name, work email address, institution or company name, role, country, and any message you include.

Is it required?

You are not legally required to provide this information. However, without the information needed for your request, we may be unable to respond fully or arrange a demo, pilot or reseller discussion.

How we use it, and our lawful basis

We use submitted information to respond to your enquiry, arrange a demo or pilot, and follow up on the request you have made about VOCAB 5000. We rely on legitimate interests – specifically, our interest in responding to enquiries, providing information you have actively requested and administering our relationship with institutional contacts. Where we enter into a contract directly with you as an individual, processing necessary to perform that contract may instead rely on the contract lawful basis. We don't sell or share this information with third parties for their own marketing purposes.

Free pilot participants

Where a free 30-day pilot doesn't use institutional SSO, we supply learner logins directly and do not require student names or email addresses. Where SSO is used, only the minimum account information necessary is used.

Retention

Where no pilot or customer relationship begins, enquiry information is retained for up to 12 months from the last contact. If there is no response to follow-up and no further contact within 6 months, it is deleted sooner.

Technical logs

Hosting infrastructure may generate standard technical and security logs, such as IP address, browser or device information, timestamps, requested pages and security events, to operate, secure and diagnose the service.

Service providers

Formspree processes form submissions in the United States and states that it relies on Standard Contractual Clauses (SCCs) as a data processor. Information about applicable safeguards is available on request.

Your rights

You can ask what information we hold about you, request corrections or deletion, object to processing based on legitimate interests, and ask us to restrict processing in certain circumstances. Where the legal conditions are met, you may also have a right to data portability. If you're not satisfied with how we've handled your information, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Learner data & institutional access

VOCAB 5000 is designed around data minimisation. The information required depends on how an institution chooses to provide learner access.

Minimal learner data

For a free 30-day pilot, institutions can provide learner access without supplying student names or email addresses.

Controller & processor roles

The institution is normally the data controller for learner accounts and progress data. E-Learning English Limited processes that data on the institution's behalf as a processor.

Written DPA

A written data processing agreement covering the required UK GDPR terms must be in place before we process learner personal data on an institution's behalf.

LMS integration

Integration with an institution's existing learning environment can be supported depending on deployment.

Single sign-on

Streamlined access is available where SSO has been configured.

Separate learner logins

Alternative login arrangements can be provided where institutional integration is not required.

Privacy information should be understandable by learners too.

VOCAB 5000 is used by learners aged 10 and above. Because younger learners may access the platform, we design with the UK ICO's Age Appropriate Design Code (Children's Code) in mind.

  • We use account information so learners can learn and teachers can see progress.
  • We don't use VOCAB 5000 to advertise to learners.
  • Other students can't see personal information or message learners through VOCAB 5000.
  • Privacy information is written to be clear and age-appropriate.

Hosting

VOCAB 5000 is hosted on Hostinger (UK), using IOMAD for platform and account management.

Encryption & access

Data is transmitted over HTTPS. Admin and teacher accounts support multi-factor authentication.

Cookies

We do not use analytics, advertising or other non-essential cookies on this website. The learning platform uses an essential session cookie required to keep learners securely logged in.

Incident response

A documented incident and breach response process is in place.

International transfers

Enquiry form submissions are processed by Formspree in the United States. Information about the safeguards applicable to our use of Formspree is available on request.

Learner data retention

Learner account and progress data is typically retained for around one month after a course or pilot ends, unless an institution requests otherwise.
